Reminders for Making Video Conferencing Much More Effective



When you're ready to have a meeting or conduct a sales presentation, you may turn to video conferencing rather than a face-to-face meeting, and with good reason. Many people today are very accustomed to using electronic methods of communication rather than meeting in person, and companies appreciate being able to save on travel costs whenever possible.

The use of video conferencing may also mean being able to have more meetings overall so that communication is improved between departments or remote locations. When you can quickly and easily assemble an entire department or even an entire location in one spot and have a meeting or presentation, you can get more done and have more accomplished overall. Using video conferencing can increase productivity and can also mean making more frequent sales calls without the expense of increased travel.

However, just setting up video conferencing between departments or members of your staff will not in of itself make those meetings more effective. As with any other presentation or even a face-to-face meeting, some preparation and planning should be involved to make them more effective. Here are some quick reminders in this regard.

Visual Aids

One advantage of video conferencing over a conference phone call is that you can use visual aids, which are often very useful in getting your point across and in having it remembered long after the meeting is finished. However, if your visual aids are ineffective then they are pointless. Put some thought into what you want to say and what you want to have remembered when it comes to using visual aids during a video conferencing session.

Typically it's good to get away from just raw data when using visual aids for video conferencing. Pie charts and other graphs may seem simplistic, but they're very effective in helping everyone to see why this information is important and how it should be applied. Use colors, different fonts, and bullet points for when you do have wordy information in the visual aids you use for video conferencing; this will help the important things to stand out, which means they'll be remembered.

Inviting Others

When you have interoffice meetings, do you usually neglect to invite the support staff to these meetings? It can be difficult to squeeze everyone around a phone in a conference room, but with video conferencing, it can be very effective and much easier to invite everyone and anyone you believe would benefit from such a meeting. This can improve your relationships with customers and clients since you get to know everyone better and since everyone's job becomes easier as they get the right information from that video conferencing.

This is also a consideration when you use video conferencing for interoffice meetings and for meetings between locations and various sites. The more staff members that attend these meetings, the more effective it is and the more improved your communication becomes.
